Privacy Policy

At WayVerb ("we," "our," or "us"), we respect your privacy and are committed to protecting the personal information of our users ("you," "your," including school administrators, teachers, parents, and students). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform — including the WayVerb web application, the WayVerb Teacher App, and the WayVerb Parent App.

1. Information We Collect

We collect information to provide and improve our School Management Services. The data collected varies by platform:

WayVerb Web (app.wayverb.com)

  • Student demographics: name, date of birth, gender, photo, address, and guardian contact details.
  • Academic records: class, section, roll number, exam scores, grades, and report cards.
  • Attendance records with timestamps, marked by teachers or administrators.
  • Fee records: amounts due, payment history, receipts, and outstanding balances.
  • Teacher and staff records: name, role, subject, and contact information.
  • Library data: book inventory and borrowing history.
  • Admission application data including uploaded documents.

Teacher App (Android & iOS)

  • Device information and FCM (Firebase Cloud Messaging) push notification token.
  • Attendance entries submitted by the teacher for their assigned classes.
  • Marks entered for exams and assessments.
  • Leave application records and timetable data.

Parent App (Android & iOS)

  • Device information and FCM/Notifee push notification token.
  • Homework submission acknowledgements.
  • AI chat messages: processed in real time to answer queries — not stored beyond the active session.
  • Announcement read receipts.

2. How We Use Your Information

We strictly act as a Data Processor for the educational data provided by schools. We use data to:

  • Provide, operate, and maintain the WayVerb platform across web and mobile apps.
  • Process fee payments via integrated payment gateways and generate digital receipts.
  • Deliver push notifications via Firebase Cloud Messaging for announcements, fee reminders, homework alerts, and attendance updates.
  • Process AI chat queries in the Parent App in real time — queries are not retained after the session ends.
  • Operate role-based access control: Administrator, ADMIN, TEACHER, OFFICE_STAFF, VIEWER, and Parent roles each access a scoped subset of data.
  • Detect and prevent fraudulent or unauthorized activities.

3. Data Sharing and Disclosure

We do not sell your personal data. We may share information with:

  • Appwrite — our primary backend infrastructure provider for data storage and authentication.
  • Payment Gateway Providers — for payment processing and fee collection.
  • Firebase (Google) — for push notification delivery via FCM on mobile apps.
  • Legal Compliance — if required by law or in response to valid requests by public authorities (e.g., courts or government agencies).

4. Data Security

We implement robust security measures including AES-256 encryption at rest and TLS 1.2+ in transit. Access to sensitive student data is restricted by role-based permissions. Push notification tokens are never shared with unauthorized parties.

6. Data Retention

  • Student and academic records are retained for the duration of the subscription plus 12 months after termination, after which they are permanently deleted.
  • AI chat session data in the Parent App is not persisted beyond the active session.
  • Push notification tokens are deleted from our systems upon logout from the mobile app.

7. Your Rights

  • School administrators (Data Controllers) may request deletion of all institutional data within 30 days of subscription termination by contacting contact@wayverb.com.
  • Parents and teachers may request access to their personal data via the school administrator, who acts as the Data Controller for their institution.
